Objectives of this Role
- Be the initial point of contact for the office, greeting guests, providing information, answering questions, and responding to requests, ensuring all visitors are directed to the appropriate person/department
- Oversee and execute all administrative tasks in a timely manner while upholding company policies and practices
- Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications, office layout, etc
Daily And Monthly Responsibilities
- Provide direct administrative support to senior leaders, including email correspondence incoming/outgoing mail/shipments, and generation and distribution of memos, letters, spreadsheets, forms, faxes, etc.
- Correspond with doctors’ offices to obtain case or RX information
- Maintain filing system, contact database and employee list
- CS email- create patient folders, upload photos into labtrac as well as any notes from the doctor’s email into the system
- Handle requests from bookers, implant department, and EDDL for photo request
- Verify correct prices are listed on invoices and assist with paying invoices, contact vendor of any discrepancy
- Work with FedEx and UPS to file claims on lost or damaged shipments
- Scan copy of remakes to Headquarters daily
Skills And Qualifications
- High School Diploma or equivalent
- Proven administrative experience
- Superb written and verbal communication skills, time-management skills and ability to multitask
- Proficient in Microsoft Office, with aptitude to learn new software and systems
Preferred Qualifications
- College degree
- Previous success in office management
